Boardly ("Boardly," "we," "us") provides AI-assisted management software for homeowners and condominium associations. This policy explains what information we collect, how we use it, who we share it with, and the choices you have. By using Boardly you agree to this policy.

Information we collect

  • Account information — name, email, phone number, and the association you represent.
  • HOA data you provide — governing documents, budgets, dues records, work orders, meeting minutes, vendor details, and resident rosters you choose to upload or enter.
  • Usage data — pages visited and feature interactions, collected via privacy-preserving, cookieless analytics.
  • Communications — messages you send to us or that you ask Boardly to send on your behalf.

How we use your information

  • To provide and operate the service — answering questions about your governing documents, generating drafts, tracking dues and work orders, and producing reports.
  • To communicate with you about your account, support requests, and service updates.
  • To improve reliability, security, and the quality of the product.

We do not sell your personal information or your association's data, and we do not use your association's private data to train third-party AI models.

Third-party services

We rely on a small set of trusted processors to run Boardly. Each receives only the data needed for its function:

  • Supabase — database and file storage for your account and association data.
  • Clerk — authentication and account management.
  • Stripe — payment processing for paid plans. Card details go directly to Stripe; we never store them.
  • Anthropic — the AI model behind Nola. Relevant context is sent to generate responses; Anthropic does not train on data submitted via its API.
  • Twilio — SMS notifications and vendor messaging, where enabled.
  • Resend — transactional and notification email delivery.
  • Vercel — application hosting and cookieless web analytics.

Data storage and security

Data is stored with our infrastructure providers using industry-standard encryption in transit and at rest. Access is restricted to authorized personnel and systems. No method of transmission or storage is perfectly secure, but we work to protect your information using reasonable safeguards.

Data retention

We retain your data for as long as your account is active. On account closure, we delete or anonymize your data within a reasonable period, except where retention is required by law. You may request earlier deletion at any time.

Your rights

You may request to access, correct, export, or delete your personal information. Your association retains ownership of its data and may export or remove it. To exercise any of these rights, contact us at the address below.

Cookies and analytics

Boardly uses essential cookies required for authentication and a cookieless analytics service that does not track you across other sites or collect personally identifying information.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above, and where appropriate we will notify you directly.
